Contact Lens Database

The Procedures
module stores your contact lens information as a procedure.Each contact lens,
with different parameters, get its own record and its own
unique code. This way you can strictly
monitor inventory and know when you have enough stock to dispense.
A separate
screen, shown below, is used to enter, view and edit
contact lens records. You get this screen whenever the T
O of Service(TOS1)of
the found or selected record
is CL.
Creating a
New Record
- To
create a new contact lens record click New.
- At the
dialog below enter a Unique Code for the record. The in example
above, the Code is BM38 which stands for BioMedics 38 from Ocular Sciences
(Vendor code = OSI).
- Next,
pick from the pop-up list the Record Type. If you are not set
up for a vision practice, as discussed elsewhere,
you will not get the Contact Lens selection seen below.
- The Description
needs to be filled in based one the name of lens, but be brief
- TOS should be CL
- Modifiers are not required (yet!).
- POS should be 11 and UPIN No.
- The SKU
should either contain the manufacturer’s SKU or your own
code unique to this lens and its parameters.
- Example: SureVue BC 8.4 Dia 14.0
Sph -3.25 gets the
code SV4-325. There is no need to add the “8” in “8.4” since
it
is implied. Also, the diameter of “14.0”
is also
implied.
- Decimal points should NOT be used!
- To find a SKU just click the find icon next to
the
field, enter the SKU and press
[enter].
- The A(1) fee field should
contacin your price since patients will be paying for lens. If you intend to bill insurance for these lens
put
the price in the appropriate fee schedule(s).
- If you have a service Plan or are willing to Match prices, put your lowest possible
prices in these fields.
- The fields BC1, Diam, SPH, CYL, Axis, Tint and Extra have
specific information about
this lens. Information in these fields
must be
uniform between all records. Do NOT use
decimal
points for any powers (i.e. -1.25 should be entered as -125).
- There are two notes fields in the upper right
section of the screen. The top can hold up 64,000 characters of
information. The second field is a "popup" note. When you find this
record, or navigate to the database from elsewhere, and there is a note
to display, it "pops up" to show you the information.
General Lens Information
This section shows the information stored
in the Contacts Parameters database
and is linked through the Code
field. The information here can be edited.
Also, you can create a new record in the
Contacts
Parameters database directly from
this
section by simply putting information in a blank record!
Vendor List
You can keep
track of how much different vendor charges for this contact. Clicking in the Vendor
field
gives you an editable pop-up list of your vendors.
You would enter their cost and any additional information on the
line below.
Inventory, etc.
- If Add
to List is Yes the item is
printed on your inventory list!
- If an item is Taxable
select Yes.
- If you want a contact to be Discountable
select Yes.
- If you want the Inventory
to
be debited on this item
select Yes.
- The #on hand
field shows how much is in stock.
- Enter the Minimum of this
contact you want in stock at all times.
- Cost
is your approximate cost of the contact for profit report purposes.
Take into account per unit cost, shipping and
other charges, too!

Contact Parameters Database
The Contact
Parameters database stores all pertinent information about a contact
lens.
The left side shows all the specifications of the current lens. The top
list on the right shows all the contacts in the database for the
current
lens maker, in this case Vistakon. The bottom list
shows all
lenses of the select Type of contact.
Available Functions
You can create a New record, Find and current lens or Delete
the current lens.
- To
create
a new record click New and confirm your action
that the dialog box
- In Code enter a unique
code for the contact. For example, "AVCE" is for "AcuVue Colors
enhancer"
- Enter
the Name of the contact, select the Maker
(the
list is generated from all vendors in the PhoneBook module) and the Type of
contact
(this list is self generated by select Edit... from the bottom of the
list).
- In the SPH, Cyl and Axis fields enter the parameters for this contacts.
The Steps field is for the range.
- You
can
enter three different Parameters for each contact, as well as a
Default BC and Diam. The values in these
fields
are used to fill in the same fields in each Procedures record as well
as
a patient’s vision record.
- In Tints and Other Options enter the sphere range and in Tints all
available
colors for the lens. There is a large scrolling text fields for
notes.
- Click Find
to search for a lens. When you do this, the screen appears to go blank
allowing
you to search on any field. This why you could search for a
myopic
lens with a DK value of greater than 40.
- To
delete
a record, click Delete and confirm your action.
